Job Description
pec Personnel is seeking a highly organized and detail-oriented On-Site Solar Site Administrator to support daily operations on an active utility-scale solar project in Vandalia, MO.
This role serves as the administrative hub of the jobsite — supporting field leadership, safety, HR onboarding, workforce tracking, and project reporting. The ideal candidate thrives in a fast-paced construction environment and plays a key role in keeping site operations compliant, documented, and running efficiently.
Key Responsibilities
Site Administration & Workforce Support
- Manage daily sign-in sheets and workforce tracking logs
- Coordinate new hire onboarding, orientations, and badging
- Maintain manpower rosters and headcount reports
- Assist with timekeeping collection and approvals
Document Control
- Organize and maintain digital and hardcopy personnel files
- Track worker certifications (OSHA, equipment, electrical, etc.)
- Upload and manage compliance documents in project systems
Compliance & Safety Support
- Assist Safety team with onboarding and orientation paperwork
- Track safety training attendance and documentation
- Support incident reporting and OSHA log maintenance
Reporting & Communication
- Prepare daily and weekly administrative reports
- Support Project Managers and Superintendents with scheduling updates
- Coordinate lodging lists, per diem tracking, and travel rosters
Office Coordination
- Maintain site office supplies and equipment
- Coordinate meetings, orientations, and visitor access
Qualifications
Required
- 2+ years administrative experience (construction, industrial, or solar preferred)
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong organizational and communication skills
- Ability to work on an active construction site
Preferred
- Utility-scale solar project experience
- Knowledge of prevailing wage / certified payroll
- Experience onboarding large field workforces
- OSHA 10 Certification
- Bilingual (English/Spanish) a plus
Compensation & Benefits
Pay Range: $24 – $28 hour (DOE)
- Per Diem: Available for non-local candidates
- Schedule: 40–60 hours/week (project dependent)
- Project Completion Bonus: Potential eligibility
- Benefits: Medical, Dental, Vision, 401(k) (if applicable)
